This Privacy Notice explains how Nosibele Design & Embroidery (“Nosibele”, “we”, “us”) handles personal information when you use www.nosibeleembroidery.co.za, send a quote or contact request, or message us on WhatsApp. It is a practical draft prepared for South African visitors and should be reviewed by the business owner before being treated as final legal advice.

When you use our quote or contact form, we may collect:

The website quotation form accepts optional artwork attachments (PNG, JPG or PDF only; up to 3 files; maximum 8 MB each). Attached files are transmitted with your quotation request to our quotation mailbox via Formspree. Do not upload identity documents, payment-card images, or unrelated personal files.

3. Information shared through WhatsApp

If you contact us on WhatsApp, Meta Platforms processes that conversation under WhatsApp’s terms and privacy policy. We use WhatsApp messages to understand your request and respond. Leaving this website to open WhatsApp means you are using WhatsApp’s service.

We use enquiry details to prepare quotations, clarify artwork and order requirements, arrange production or collection, and keep a record of the conversation related to your request.

Our website host and security systems may process technical data such as IP address, browser type, device type, pages requested, approximate location derived from IP, and timestamps. Quote requests submitted through the website (including any allowed artwork attachments) are sent to our configured form processor (Formspree) and delivered to our quotation mailbox (quotes@nosibeleembroidery.co.za) for follow-up. A quotation is an invitation to do business and is not a confirmed order until both sides agree the details, artwork and commercial terms.

We do not use website form submissions for marketing by default. If we ever send marketing messages, we will rely on a clear optional consent or another lawful basis, and you can withdraw at any time.

Where a marketing checkbox appears on a form, it is separate from the required Privacy Notice acknowledgement, unchecked by default, and recorded independently.

Active quote forms post to Formspree endpoint https://formspree.io/f/maqgekdl so submissions can reach our quotes mailbox. Formspree’s processing is subject to Formspree’s own terms and privacy information.

This repository is configured for Netlify builds and publishing of the prod-build folder. When Netlify hosts the site, Netlify processes request logs and delivery metadata needed to serve the website.

If present and consented, Google Analytics measures site use. Google Maps may be used on the contact page or via map links. Google Business Profile reviews are hosted by Google.

WhatsApp messages are handled on Meta’s platforms. Do not send payment card numbers or unnecessary sensitive information over WhatsApp.

15. Potential processing outside South Africa

Some processors (including Formspree, Google, Meta and hosting providers) may process information on servers outside South Africa. Where this happens, we rely on the practical necessity of using those services to operate the website and respond to you, and on the safeguards those providers describe in their own policies.

We keep enquiry and order-related information for as long as reasonably needed to complete your request, maintain business records, resolve disputes, and meet legal or accounting obligations. Exact retention periods for each category are still an internal business decision; once confirmed they can be stated more specifically.

Our services are aimed at adults placing business or personal apparel orders. If a school or parent places an order that includes a learner’s name for embroidery, that information should only be provided by a responsible adult with authority to do so.
